This Privacy Policy explains how the KwiikPay group ("KwiikPay", "we", "us", "our") collects, uses, shares and protects personal data when you visit our website, submit an enquiry or lead form (including forms served through advertising platforms such as Google Ads), or use our products and services.

1. Who we are

KwiikPay is a B2B cross-border payments and settlement business operated through the following group entities, which act as data controllers for the purposes described below:

2. The data we collect

2.1 Information you give us

  • Enquiry & lead-form data — your name, work email, company name, phone number, country, and any details you provide about your payment needs or volumes when you complete a form on our website or through an advertising platform.
  • Account & onboarding data — where you proceed to open an account, the identity, business-verification (KYB), and beneficial-ownership information required to meet our regulatory and anti-money-laundering obligations.
  • Correspondence — the content of messages you send us by email or other channels.

2.2 Information we collect automatically

  • Usage & device data — pages visited, referring source, approximate location, browser and device type, collected through privacy-respecting analytics (see Section 7).
  • Advertising identifiers — where you reach us via an ad, the advertising platform may pass us a click identifier (for example a Google Click ID) so we can measure campaign effectiveness.

3. How we use your data

  • To respond to your enquiry, contact you about your request, and provide the information or services you ask for.
  • To assess applications and onboard customers, including identity, sanctions and anti-money-laundering checks required by law.
  • To operate, secure and improve our website, products and services.
  • To measure and improve our marketing, including the performance of advertising campaigns.
  • To comply with our legal, regulatory and reporting obligations.

4. Legal bases (EU/EEA & UK GDPR)

Where GDPR applies, we rely on the following legal bases:

  • Consent — when you submit a lead form or enquiry asking us to contact you, and for non-essential cookies.
  • Performance of a contract — to provide services you have requested or to take steps to enter into a contract.
  • Legal obligation — for identity verification, anti-money-laundering, sanctions screening and record-keeping.
  • Legitimate interests — to operate and secure our business, understand how our website is used, and measure our marketing, balanced against your rights.

5. Who we share data with

We do not sell your personal data. We share it only as needed to run our business and meet our obligations, with:

  • Regulated payment and infrastructure partners who help us deliver our services — including our banking and e-money partner, our settlement and liquidity partner, and our digital-asset custody partner.
  • Identity-verification providers for KYC/KYB checks.
  • Technology service providers that host our infrastructure, deliver our website, and provide analytics and communications tools.
  • Advertising platforms (such as Google) where you submit a form through their services, subject to their own privacy terms.
  • Authorities, regulators and professional advisers where required by law or to protect our legal rights.

6. International transfers

As a cross-border business operating in the EU, Canada and elsewhere, your data may be transferred to and processed in countries outside your own. Where we transfer personal data out of the EEA or UK, we rely on an adequacy decision or appropriate safeguards such as the European Commission's Standard Contractual Clauses.

7. Cookies & analytics

Our website uses privacy-respecting, edge-based analytics (Cloudflare Web Analytics) that do not use cookies or fingerprinting to track you across sites. Where we enable additional analytics (such as Google Analytics 4) or advertising measurement, we will do so consistently with this policy and, where required, with your consent. You can control cookies through your browser settings.

8. How long we keep data

We keep personal data only as long as necessary for the purposes set out above. Enquiry and lead-form data is retained for as long as needed to follow up and for a reasonable period thereafter. Customer and onboarding records are retained for the periods required by anti-money-laundering and financial-services law (generally several years after the relationship ends).

9. Your rights

Subject to applicable law, you may have the right to access, correct, delete, restrict or object to our processing of your personal data, to withdraw consent, and to data portability. To exercise any of these rights, contact info@kwiikpay.io. We will respond within the timeframes set by applicable law.

If you are in the EU/EEA and believe we have not handled your data properly, you may lodge a complaint with the Polish supervisory authority, the President of the Personal Data Protection Office (UODO). If you are in Canada, you may contact the Office of the Privacy Commissioner of Canada (OPC).

10. Security

We apply technical and organisational measures appropriate to the sensitivity of the data we hold, including encryption in transit, access controls and segregation of duties. No method of transmission or storage is completely secure, but we work to protect your information and to detect and respond to incidents.

11. Children

Our services are for businesses and are not directed to children. We do not knowingly collect personal data from anyone under 18.

12. Changes to this policy

We may update this policy from time to time. We will post the revised version here and update the "Last updated" date above. Material changes will be highlighted where appropriate.
